Paul DesRosiers: May I Schedule Your Upgrade?

Paul DesRosiers is a man of many talents and he has put them to good use in his 12 years at ACS.  After earning a degree in computer engineering, his first job was as a programmer for a company that developed accounting software.  During his time there, he enrolled in night school at Eastern Michigan University, where he earned an MBA with a concentration in Strategic Quality Management.  Paul still retains his membership in the American Society for Quality.

Although he enjoyed programming, Paul wanted to use his business skills as well.  He joined ACS in 1997 as an analyst in the implementation area, and began learning Advantage and the project methodology.  Paul has great memories of working with Caryn Bair on his first implementation, at what was then called Intertec.

Caryn remembers that time also: “We tortured Paul so thoroughly, that I am surprised he is still with Advantage, let alone that he still speaks to us.  He was brand new and assigned to our first implementation.  He took the heat from both sides, yet managed to present a positive attitude to his customer every time.  But with the trial by fire beginning, we do take credit for how thoroughly he learned the product and the project needs of clients!  He put tremendous effort into keeping us satisfied and moving forward.  I always ask if Paul can be on my projects because of the confidence I have in him.”

During the 1999 Y2K compliance push, many clients scheduled upgrades and Paul was asked to help with resource planning and scheduling in that area.  He has worked in the upgrade realm ever since and today, as a Project Director, is the acknowledged Upgrade Guru.  Under his leadership, the section has grown from an average of five upgrade projects a year to 20 or more.  Since taking over responsibility for the area, more than 100 upgrade projects have been completed.

Steve Miller, of Wolters Kluwer Health, has high regard for Paul: “I’ve had the pleasure of working with Paul on several upgrade projects here at WKH over the years, and I can say that each of those projects was very successful because of Paul’s project management skills, communication abilities and attention to detail at every level.  I look forward to working with Paul again on our next upgrade or whatever project Paul may be leading.” 

Paul earned his Project Management Professional certification from the Project Management Institute and called upon this training to help him implement a methodology for Advantage upgrade projects.  Since earning his certification, Paul has helped to develop training materials for other candidates looking to earn their PMP.  Helping to create the foundation, plus metrics and standards, was an enjoyable exercise for Paul, as he relishes challenges which enable him to learn new things.

Evelyn Acton worked with Paul at their previous workplace as well as here at ACS.  She has this to say about him:  “As a programmer, Paul was always top notch.  He was VERY dedicated to figuring out solutions and serving the clients well……..that’s a quality that has stayed with him throughout the years.  I truly enjoy working with Paul.  He has an open-door policy and is always willing to help on tasks or let you bounce ideas off of him.”

Greg Stout, Paul’s supervisor, describes him this way:  “In essence, Paul is a guy who gets things done.  He is always on top of his various projects and responsibilities, and gets the work done while continually looking for ways to improve customer satisfaction and operating procedures.  He is great at working with all kinds of people and offering solutions that work for everyone.  When a new initiative presents itself at ACS, I can always depend on Paul to take on the challenge and be an enthusiastic member of the team. And he appears to do all this with the easy stride of an accomplished long distance runner (which he is).”

Perhaps the most enjoyable aspect of his job, Paul says, is that he gets to interact with so many clients and departments at ACS.  Upgrades have an impact on--and are important to--nearly every area of the company.  Paul works with the support center staff, the account managers, the QA folks, the engineers and the documentation team, all of whom are involved in an upgrade project in its various stages.

Larry Kleber works with Paul on the “nuts and bolts” of most upgrades.  “Paul always knows what’s going on in all the projects in his area, but never micro-manages. If you can’t get a hold of the project manager, chances are that a quick call to Paul will get you the answer you need,” says Larry.  He goes on to say: “Paul is constantly asking the question ‘How could we do this better?’ Even if the process is working well, he is constantly looking for ways to optimize and streamline the process.”

Paul and his wife, Lisa—his high school sweetheart—live in Dexter with their three children: Cadey, 12, Blake, 10, and Tommy, 5.  Paul and Lisa enjoy camping with the kids and are both Sunday school teachers at their church.  Paul’s hobbies also include biking, hitting garage sales, exercise and running.  He likes both trail and road running, and ran in 12 races in 2008, ranging from 5K’s to half-marathons.  Paul has brought this outside interest in to the workplace, as he was responsible for arranging a professional trainer to come to ACS twice weekly and lead core exercise classes for ACS staff.

Whatever he does, Paul goes at it with enthusiasm and determination, and you can count on him to keep at it until he achieves his goal.  Your upgrade is safe in his hands.  

Penton Upgrade and Consolidation Go Live: More Than Your Typical Upgrade!

Penton Media, formerly known as Intertec, just completed a comprehensive seven-month project that included an upgrade that took them from Advantage 7.0-0 to Advantage 2008r3. In addition to making an eight-year jump in Advantage revisions, the company consolidated the Penton Media Loveland, Colorado into the upgraded Overland Park, Kansas operation.  The two business units now co-exist in one happily united installation of Advantage at the Kansas location. 

To make things even more exciting, the project also involved implementing two new modules, Conference and Event (CEM) and Access Management and Billing (AMB).  This involved several CIR to AMB conversions, some software modifications, and a complete rewrite of their web interface.  Additionally, Overland Park moved their cash applications to their Cleveland location.

Evelyn Acton, Penton's Account Manager at ACS has this to say; "This was truly a team effort between all parties involved. The complexity of the project and the sheer number of components coming together under one project displayed the effectiveness of the true working partnership between ACS and Penton Media."

The ACS team on the project included Angie Markel as Project Manager, Tim Zapawa as Project Director, Karl Davis as Lead Engineer, Dan Sneed as Conversion Engineer, Larry Kleber and Martha Krieg as Upgrade Engineers, and Matt Varblow as Manager of eCommerce.  The Penton team was led by Carver Bonine as Technical Project Manager, Caryn Bair and Mary Salvia as business unit leads, Kathy Cone as Project Manager, and Jay Swift as Director of Business Integration.

Jay Swift, Director of Business Integration at Penton Media, shared his thoughts. “I am very proud of the results that Kathy, Caryn, Mary and Carver were able to deliver, particularly in light of the tremendous effort required in such a short timeframe. Their efforts, along with the exceptional focus and turnaround time for requests to Angie, Karl, Dan, Larry, Martha, and Matt at ACS made this project extremely successful. Congratulations to the entire team!”

The Sky is the Limit With Upgrades!

AMA was so pleased with the results of their recent upgrade that they sent a sheet cake to ACS, which we all enjoyed. Congratulations to YOU, AMA, on a successful upgrade!
The upgrade world has been a busy one so far this year and the pace looks to be picking up even more, as additional clients join the queue. Frequent upgrades benefit you, and they help us as well. For Advantage users, upgrading provides you new features and functionality help you operate your business more efficiently, along with technology enhancements, updates for industry standards, new user interface updates and major module rewrites. Plus, the more frequent upgrades are, the more efficient the project execution becomes and the less time they take. For ACS, the more clients on recent releases there are, the better support becomes as there are fewer releases to maintain and support. In addition, webinars and other training events become more pertinent as you run your business on the same revision of the software that ACS is presenting with.

Upgrading recently to a 2008 release were Farm Progress, who went live in January, and the Wildlife Conservation Society (at Palm Coast Data) with a February go-live. March saw the go-lives of the American Medical Association and American Master Products, and April/May is the scheduled timeframe for Penton and God's World Publications.

Several clients are on board to begin upgrading to 9R1, including Bayard Presse, Boy Scouts of America and Oxford University Press. And 9R2's queue has Kalmbach Publishing, Ogden Publications and Our Sunday Visitor, and Agora.

Many of these clients are using the upgrade as a spring board into other endeavors. New features and functionality continues to be released in several key areas to the publishing industry – including online web features and functionality and a dramatically enhanced Access Management and Billing module. The first step to utilizing these new features is an upgrade in Advantage revisions.

Looking Upward & Onward

In these hard economic times, it's easy to think of reasons not to begin a new project. However, there are some very compelling reasons why right now is an excellent time to conduct an upgrade project. Upgrading to the latest revision of Advantage could not only increase operational efficiencies and reduce costs, but also improve customer service. In addition, implementing new features may well help you to generate additional sales. And when the economy improves, being ready to handle new business could be key to your success.

An Advantage upgrade project focuses on the delivery of a new software revision to your site. This delivery brings you:

Highlights of Advantage 2009R1

The first release of 2009 offers some exciting new features. Here are just some of the enhancements. Contact your account manager today to learn more.

Systems Changes

  • Login Enhancements
    A new table has been added to store user login information. This table, CDSLGN-D, is populated during the upgrade, and contains the user code (USR-CDE), domain name (DMN-NME), and the user's system login name (USR-LOG). A user can have more than one record, if she/he uses multiple domains.
  • Alternating Row Colors in User Displays
    With this release, you can configure your Advantage session to display list frame rows in alternating colors; this visual aid can be helpful in setting off rows in long lists from each other.

Advertising Changes

  • Account Mappings in ADM
    The previous rather haphazard approach has been replaced by true account mapping, with the mapping ID's located on the Systems view within ADM---ADMTBL/SYS.

Customer Changes

  • Company Name "Contains" Search
    Previously, the search on the Company Name field at SVCDAT and in the Customer Lookup dialog was a prefix search only. You now have the option to use either a prefix or a "contains" search on this field---set the new CDS option COMPNAME to either "P" or "C" to indicate your preference.
  • Expanded Phone Number Fields
    The four phone number fields have been expanded to 25 characters.
  • Multiple Future Addresses
    You can now have up to 9 future addresses for a customer.
  • Require Password Change with Next Use
    You may now require a user to reset their password after their initial login.

Access Management Changes

  • Agreement Choices
    You can use the subscription, item, and member choice features to structure multiple promotion offers, and then attach the offer defined by that choice to one or more promotions. Now, in addition to subscription, item, and member choices, you can create choices for AMB agreements and offer them as part of your promotions.
  • Access Agreement Upload Process
    A process was added allowing you to load in new AMB agreements, new AMB agreement versions, and AMB agreement renewals, where the data involved has been created outside of Advantage.
  • AMB Liability Forecasting
    A set of database tables related to AMB liability forecasting, and the processes to populate and purge them, are available with this release. These tables can provide agreement liability information as of a given point in time (i.e., a snapshot), as well as projected future earnings.
  • Referring Customer in AMB
    You can now indicate a Referring Customer when adding an agreement in AMB.
  • AMB Agreements in INV Packages
    Packages set up at INVPAK may now contain AMB agreements in addition to CIR subscriptions and PRO products.
  • Agreement Participant Limit
    You can now set a limit on the number of participants for an AMB agreement (of any price type---per agreement, per participant, or per usage).
  • Support for End-User License Agreements
    As part of granting online access, you may require that users agree to the terms of end-user license agreements (EULAs) before they are granted access, and AMB now supports this.
  • AMB Agreement Demographics
    Two banks of 32-character fields are now available for use as demographic fields on AMB agreements.
  • Synchronize AMB and CIR Packages
    You may offer AMB access and a related print subscription as part of the same inventory package, and now you can "synchronize" agreements and subscriptions that are entered as part of the same package.
  • AMB Trial Term Recovery
    With this release, you can optionally "recover" a trial term, by using the new AMB system option TRSVCBRK ("service break before no trial recovery").
  • Renewal Page Feature for AMB
    You can now bundle CIR subscriptions and AMB agreements into the same inventory package.
  • AMBERN-S Table
    AMB provides the basis for user-defined reporting on AMB-based income from activity within Advantage. This activity is recorded at a detail level in the AMBERN-S table (new with this release), which can be accessed using the user-defined reporting feature or through other reporting tools available for the database you are using.
  • AMB Automatic Email Notification
    With this release, you can set up the AMB module to send automated e-mails to the agreement administrator whenever an agreement is released by the system.

Accounts Receivable Changes

  • Multiple Credit Card Vendors
    You can now split credit card processing across multiple vendors within one instance of the software.
  • Multiple Direct Debit Clearing Systems
    You can now split direct debit processing across multiple vendors within one instance of the software.
  • Direct Debit Wait Until First Issue
    You can set the system to postpone executing a direct debit order until the first issue has been received, or for a specified “acceptance period,” if desired.
  • Debit Card Authorization
    When the system detects entry of a charge card that falls within the reserved debit card range, the rep will be prompted to obtain the customer's permission before using the card.
  • Credit Card Dual Encryption Keys
    If you use the credit card encryption feature, you now have the option to use the stronger security method of "dual-key" encryption---that is, requiring that the encryption key to be split into two parts, with each part separately approved by the system.

Conference and Event Changes

  • CEM Deferred Income
    You can now optionally choose to defer income from conference registrations until the start of the conference.
  • Multiple Email Addresses
    You can now record multiple email addresses for a single conference registration.

Circulation Changes

  • Gift Subscription Analysis
    A new analysis table, CIRPMG-M, tracks promotion responses for subscriptions that have been specifically identified as "gifts." While one definition of a gift subscription is simply one where the bill-to and ship-to customers are different, CIRPMG-M uses a specific flag on the donor type record to identify gift subscriptions. The table allows you to report on such conditions as gift subscriptions where the donor her/himself is one of the recipients.
  • Alternate Delivery Enhancements
    You can now qualify a subscription for alternate delivery on an issue-by-issue basis.
  • Ancillary Name Merge
    You may wish to incorporate names from an outside list into the presort file for main issue distribution, in order to improve your mailing rates.

Campaign Changes

  • Upsell from a Promotion Choice
    Advantage upsell functionality has been enhanced to allow you to upsell from one specific promotion choice to another. For example, you could set up two offers for a subscription under a promotion, one for a 12-month term and one for a 24-month term. When the 12-month term is ordered, your upsell setup can prompt the rep to promote the 24-month choice to the customer.
  • Promotion Choice Narrative
    With this release, you can enter narrative text for choices set up under a promotion at CPNPMO/ITM. This could be used to provide additional information in order to increase the effectiveness of the promo choice---such as on Web pages.

Contact Management Changes

  • Task Upload
    You can use the new CRM125 process to upload CRM tasks into Advantage, and optionally link these tasks to scanned images for customer service purposes.

Duplicate Consolidation Changes

  • Errors-Only Option on DUP430 Report
    If you are processing a large group of records, you might wish to see only the warnings and errors, and not the successful consolidations. This is now an option on the DUP430 report.

Inventory Management Changes

  • Product Images
    You now have the ability to store images of inventory on the network, and have them displayed either by using the Images tab at INVDAT or the Images tab in the upper left corner of the Item Overview dialog box.
  • Support for ONIX Standard
    Advantage is adding functionality to support the ONIX standard. Release 2009r1 includes a preliminary and partial implementation at the INVONX workspace. While this feature is not ready for production use, we encourage you to evaluate it and give your Advantage representative your feedback, and suggestions for improvement.
  • Increased Item Number Field Size
    The size of the Item Number field (ITM-NUM) has been increased from 10 characters to 16 characters. It remains an alphanumeric field.

Master Data Entry and Product Order Changes

  • Subject Trees
    Advantage now supports searching for products by pre-defined item subjects, as well as building "subject trees" for a collection of items. Subject trees are used mostly on websites, and allow you to provide drill-down capability to the customer, similar to functionality offered on many e-commerce websites. For example, you could build a tree consisting of "books > nonfiction > sports > golf," where the number of items that satisfy the search decreases as you move down the tree. This will allow your website customers to pinpoint desired items more quickly and efficiently.
  • Keyword-Based Product Search
    You can now search for products by keywords---the products that have the keyword "golf," for example.
  • Multiple Email Addresses
    You can relate multiple e-mail addresses to a PRO ship-to customer at the order line level when the order is entered at MSTDAT/FST.
  • Product Returns from MSTDAT/PRO and SVCDAT/PRO
    With this release, your customer reps can enter product returns directly at the SVCDAT/PRO – Product Orders view (or the MSTDAT/PRO view), without needing to route to MSTDAT/FST first.

Customer Service Changes

  • Customer Service Notes Management
    A new feature has been added to allow you to import and "work" customer notes in a structured and controlled environment---for example, a support area that responds to customer questions and requests for action in the form of customer notes. You can use the Customer Service Notes Management feature to organize customer notes (SVCCON-M records) into a hierarchical/priority-based structure for more efficient addressing by your customer service personnel.
  • Customer Service Emails to Multiple Recipients
    You can send outgoing customer service responses from within Advantage via e-mail. This involves setting up the proper e-mail template, and indicating "Send Response" when you are creating the customer note.

Congratulations to Our Sunday Visitor on being Upgrade #100!

Today, October 20, 2008, is the first day of live production after OSV's upgrade to 2008R2 this past weekend. It's the 100th Advantage upgrade of the 21st century, says Upgrade Manager, Paul DesRosiers.

"It's core to our business," says Paul, "that clients are on the latest release possible. Frequent upgrades are key to client satisfaction and also make support more efficient for us."

"It's important to us to stay current with the software," says Joe Wixted, Manager of Publishing Business Systems at OSV. "We targeted an upgrade to 2008r2 in order to tie into another project going on at OSV and also to take advantage of its new features; specifically support of the ONIX standard."

It's our goal at ACS for the majority of Advantage clients to be on releases within the last two years.

What’s happening on the upgrade front?

You’ve told us you want to upgrade frequently (which is multiple times per year for some, annually for others and bi-annually for still others). Reasons to upgrade are numerous and include:
  •  to get new features designed to give you a competitive edge
  •  to realize efficiencies designed to reduce your cost of doing business
  •  to decrease the project length by doing upgrades more often

To help you meet this objective, we have continued to refine our project methodology and to decrease the time and resources needed to complete an upgrade. As a result, today, over two-thirds of our client base are on a revision within three years of the current (Release 2005r0 or higher). The higher this percentage goes, the more it allows us to focus resources on the current revisions of the software instead of on maintaining older releases, which is something everyone benefits from.

Who is upgrading?

2008r1 is being implemented at three sites, with go-lives for all three in April and May. Five additional clients are slated to get this release early second quarter, with another dozen clients discussing upgrade plans with their respective account managers. We will complete more than 20 upgrade projects this year, and by year’s end, 12 – 15 clients will be on an 8r1 or higher revision.

The first client to use the 2008r1 revision in a live production environment is expected to be… ACS! We use the Advantage software to track issues and have multiple users in the system every day. We also employ web capsules to show your open issues lists via the client web page. Our go-live is targeted for early April and we’re currently working through the upgrade methodology like any other client would.

What’s in this release?

The 2008r1 revision brings many fantastic new features and enhancements including:

  •     * The Global Process Request View – CDSREQ. One centrally located workspace to request processes, reports, and job streams. This display also supports the scheduling of job streams.
  •     * CIR Subscription fields in MSTDAT scripting
  •     * Telesales to Teleservice redesign
  •     * Plus many, many more
